Privacy

Private.By design.

Coach.Cloud holds what a coaching relationship needs and nothing it doesn’t. Private by default. Analytics off by default. Yours to control.

Last updated 2 November 2026

Private by default01

Your workspace is yours.

Students, notes, messages, bookings and video live inside a coach's workspace. They are never public, never shared between coaches, and never used to train a model.

Your choice02

Analytics starts at off.

Optional site analytics on the marketing pages is a separate, explicit opt-in. No consent means the analytics service is never started. Page-speed and error records use no cookies and don't identify you.

Payments03

Coach.Cloud never sees a card.

Payments go through Stripe, and the coach is the merchant of record. Card details are entered on Stripe's pages and held by Stripe, not by Coach.Cloud.

01

What Coach.Cloud collects

An account needs a name, an email address and a sign-in method: a verified email, Google, or a passkey stored on your device. Sign in with Apple is not currently offered.

A coach's workspace holds what the coach and their students put into it: contacts, student records, notes, bookings, availability, messages, assignments, library files, and videos or images uploaded for review.

A student's account holds their bookings, submissions, the reviews and assignments a coach has published to them, and the coaches they are connected to.

02

How it is used

To run the service you asked for: showing a public profile, taking a booking, sending a confirmation and a reminder, delivering a review, and keeping the conversation between a coach and a student in one place.

To send the emails the service needs, such as booking confirmations, lesson reminders and replies to a lesson request. A coach can also send campaigns to contacts who have consented, and every campaign carries an unsubscribe link.

Nothing in a workspace is sold, shared with advertisers, or used to train a machine-learning model.

03

What is public

Only what a coach puts in their public profile: name, photo, headline, services, prices, location and links. The directory lists those profiles and lets people search them by discipline and place.

Demo profiles are marked as such and are fictional.

04

Payments

Paid bookings, memberships and store purchases are processed by Stripe under the coach's own Stripe account. The coach is the merchant of record. Coach.Cloud receives a commission on referred payments and keeps a record of each transaction's amount, status and the parties involved.

Card details are entered on Stripe-hosted pages and are never sent to or stored by Coach.Cloud. Stripe's privacy policy governs what Stripe holds.

If you make a purchase, your coach is the seller and may be able to view your billing name and email address in Stripe. Contact-sharing preferences in Coach.Cloud do not hide billing details held in the coach’s Stripe account.

05

Site analytics is opt-in

The marketing pages can run privacy-respecting site analytics to understand which pages are visited. It is off until you choose Allow, the choice is stored in your browser, and you can change it at any time from this page.

Site analytics never runs inside a coach workspace or a student account.

To keep the service fast and working, every page reports how quickly it loaded to Vercel Speed Insights, and the server reports errors to PostHog, hosted in the EU. Neither uses cookies or records who you are: an error report holds the page address without its query string, the request method and the error itself.

06

The Coach.Cloud AI assistant

The assistant inside the coach workspace can draft a community post, a calendar block or a student message. It receives only the coach's current request, the workspace name, its time zone and which students can be messaged. Emails and other identity data are not sent to the model, requests are not stored by the model provider, and the assistant cannot act without the coach confirming the exact proposal.

The model card at /trust/model-card describes intended use and limitations.

07

Retention and service providers

Workspace data is kept while the account is open. You can delete your account from your settings in Coach.Cloud. It locks straight away and is deleted after 7 days, and you can change your mind until then by signing in. Your account and its content are then deleted, and are gone from backups within 35 days. We keep payment records, without your name, for seven years because tax law requires it, and open safety reports until they are closed. If you signed a form for a coach, the coach keeps that record, without a link to your account, for seven years. When a coach deletes their account, we tell their students first. Students' messages, videos and reviews with that coach are then deleted, and anything paid for and not delivered is refunded.

Coach.Cloud runs on Amazon Web Services and Vercel, uses Stripe for payments, Amazon Cognito for sign-in, Resend to deliver email, LiveKit for live video, OpenAI for the AI assistant and PostHog for error reports. Each provider processes data only to provide its service to Coach.Cloud.

08

Your rights

You can get a copy of your data, correct it, or have it deleted. Your name, contact preferences and most workspace records can be corrected directly in Coach.Cloud.

To download your data or delete your account, go to your account settings. For anything else, email hello@coach.cloud from the address on the account, and we will respond within 30 days. If you are in the UK or the European Economic Area you also have the rights set out in the GDPR, including the right to complain to your local supervisory authority.

09

Student contact and billing privacy

Your full name and email are hidden from coaches in Coach.Cloud unless you choose to share them. New connections show your first name and surname initial by default. In account settings, you can choose a nickname or share your full name with a connected coach. Your display name and content you choose to post or send remain visible to their intended audience.

If you make a purchase, your coach is the seller and may be able to view your billing name and email address in Stripe. Contact privacy within Coach.Cloud does not make a purchase anonymous to the coach on their billing platform.

A coach can request specific contact details for a stated purpose, such as exporting or migrating your record. You can approve or decline the request. Approval lasts for 90 days and can be revoked in account settings. Revoking permission will stop future access through Coach.Cloud, but cannot recall information already exported or remove billing records held in Stripe.

10

Children, changes and accountability

Coach.Cloud accounts are for people aged 16 or over. A parent or guardian may book on behalf of a younger student, and the account then belongs to the adult.

Coach.Cloud is operated by S-Motion Technologies Pty Ltd in Australia. If this policy changes in a way that matters, the effective date at the top will change and existing account holders will be told by email.

The Coach.Cloud Golf app has its own privacy policy, because most of what it does stays on your phone.

Website analytics

Your choice. Always reversible.

Optional site analytics is currently off. The preference itself is saved in this browser so we can remember your answer. Changing it does not affect GolfMotion app analytics.
